Resource Development Coordinator

POSITION SUMMARY:

In accordance with the elements of competence established for Boys & Girls Club resource development professionals, this position is responsible for high-level support to the Chief Development Officer (CDO) and the development department, to include traditional administrative support to the CDO, management and maximum utilization of donor database, event logistics and support, and gift acknowledgments and receipting. Models and fosters behavior that is consistent with the core values, vision, and mission of the Boys & Girls Clubs of Silicon Valley.

KEY ROLES (ESSENTIAL JOB DUTIES)

Administrative Support

  • Provide high level and confidential administrative support to the Chief Development Officer to include T&E management, records management, meeting arrangements, general document preparation, and special projects.

  • Provide exceptional customer service to all stakeholders (staff, volunteers, partners, donors)

Donor Database Management

  • Manage donor database and ensure timely and accurate entry of gifts and new donor information into the database.

  • Utilize database to communicate giving trends, patterns, anomalies, etc.

  • Run export queries and prepare reports.

  • Reconcile database revenue records with monthly revenue reports from the finance department.

  • Train staff in database usage as needed.

Donor Response Strategy

  • Prepare acknowledgment of gifts and gift receipts; prepare pledge reminders.

  • Draft donor profiles for single gifts of $1,000+ and schedule regular meetings with the development team to review and discuss.

  • Donor Club Activations

  • 3rd Party Event support as needed

  • Donor cultivation events support

Event Logistics

  • Collaborates with Resource Development Manager to plan and execute the production and logistics for two large scale events, ensuring all details are managed in a creative, timely, and cost-efficient manner. This includes but is not limited to auction, volunteers, venue, vendor contracts, registration, database management, and day-of logistics.

  • Provide support to volunteer committee meetings as needed: calendaring, reminders, prepare materials, attend meetings, record and distribute meeting minutes.

MINIMUM QUALIFICATIONS

  • Associate’s degree or equivalent experience.

  • 1-3 years of office and/or event support.

  • Demonstrates supportive services competencies: customer-focused, collaborative, resourceful, action and results-oriented, highly organized, accurate, resilient, self-driven/self-motivated

  • Proficiency using MS Word, Excel, PowerPoint, Outlook, Publisher and the Internet.

  • Good oral and written communication skills.

  • Ability to work as a collaborative member on a team.

  • Ability to respond to changing circumstances and priorities in a focused and timely manner.

  • Limited travel.

  • Must have reliable transportation to all work-related activities including evening and weekend work.

  • Must clear a Criminal History check and obtain an FBI Fingerprint Clearance.

PHYSICAL REQUIREMENTS

  • Frequent standing and walking.

  • Occasional lifting (up to 25 pounds of supplies or equipment waist height).

FLSA STATUS: Full-time; Hourly
