Accounting Assistant

Summary of Responsibilities

Computes, classifies, records, verifies, and maintains financial records in accordance with generally accepted accounting practices. This position performs daily activities related to accounts receivable (A/R) and accounts payable (A/P).

Essential Job Duties

  1. Record and process bills for weekly A/P check batch, collect W-9s, respond to all vendor requests, and maintain vendor database

  2. Record site credit card transactions and communicate any issues regarding the usage of the cards

  3. Invoice grants and other customers monthly and assist with A/R collections

  4. Assist in the research and analysis of internal and external questions associated with A/P or A/R

  5. Maintain all financial documents required for the annual audit and tax preparation by scanning and filing records in an organized manner

  6. Perform special projects as assigned

Minimum Qualifications

  • Demonstrated knowledge of accounting practices, processes and procedures of non-profit organizations

Job Competencies (Knowledge, Skills, Abilities)


  • Knowledge of QuickBooks accounting system

  • Understanding of general accounting information and basic nonprofit budgeting and accounting issues

  • Strong knowledge of Microsoft Office Suite including Excel and Word

  • Occasional lifting: Exerting up to 25 pounds or a negligible amount of force

  • Visual Acuity: Determining the accuracy, neatness, and thoroughness of the work assigned

  • Frequent Sitting: Remaining in the seated position

  • Frequent Typing: Working primarily with fingers rather than with the whole hand or arm


Perform other duties and projects as required by the Accounting Manager.


This position is located in the Administrative Office of Boys & Girls Club of Silicon Valley. The Accounting Assistant coordinates a number of finance and accounting tasks at one time. Stress may be caused by the need to complete tasks within tight deadlines.

REPORTS TO: Accounting Manager

FLSA STATUS: Non-Exempt / Part Time (8-16 hours per week)
